Expenses guide
Getting started with Expenses
Expenses records what your business spends. Each expense is posted to the same books as your invoices, so Reports can show your profit.
Record an expense
- Choose New expense.
- Fill in the Date, Supplier and Description, and pick a Category.
- Pick how it was Paid by: Bank transfer, Card, Cash or Other.
- Type the Amount paid (tax included) and the Tax rate %. Tax to reclaim is worked out for you, and you can change it.
- Choose Record expense.
Tip: From a receipt… reads a photo of the receipt on this device and fills in the supplier, date, amount and tax. The first time, it asks to download the text reader.
Bills and mileage
For a bill you will pay later, set Paid by to Not paid yet: a bill to pay and choose a Due date. When you pay it, open it and choose Mark as paid….
Mileage… records a business trip: the route, the distance and your rate per kilometre or mile. The claim is recorded as an expense.
See the totals
The Expenses list shows each expense with its status: Recorded, To pay or Void. A recorded expense is read only, like the books. Void… reverses one, and Record a copy starts a new one from it.
The Summary tab shows what you spent this month and this year, the tax to reclaim, and each month with its biggest categories. Download CSV of every expense gives your accountant a spreadsheet.
