Track business expenses

Write down what the business spends as it happens: supplier, category, amount and the tax you can reclaim. Expenses posts each one to your books and sums it up by month.

Record an expense

How to do it

1. Choose New expense.
2. Fill in the Date, Supplier, Description and Category.
3. Type the Amount paid (tax included) and the Tax rate %; Tax to reclaim is worked out, and you can change it.
4. Pick how it was paid (Paid by: bank transfer, card, cash or other) and choose Record expense.
5. Open Summary for this month, this year, the tax to reclaim and the biggest categories, and Download CSV for your accountant.

The CSV has one row per expense: date, supplier, description, category, amount, tax, currency, how it was paid, status and notes, with plain numbers a spreadsheet reads as numbers.

Your files stay on this device: Expenses runs in your browser, with no upload, no account and no watermark.

Questions

Where do the categories come from?

They are the expense accounts in your chart of accounts, so each expense lands on the right line of the profit and loss. Add an account in Ledger to get a new category.

Can I fix an expense after recording it?

A recorded expense is read only, as the books are. Void… reverses it, and Record a copy starts a new one from it to correct.

Is my spending uploaded?

No. Everything is kept in this browser on this device. Download a full backup from Admin to keep a copy.
